Separate voice interpreting from written translation
A call centre may need spoken interpreting for telephone calls and written translation for chat, tickets or email. Specify both workflows separately. An interpreter telephone number does not automatically integrate with your ticketing system; a text-translation tool does not automatically process live call audio. Ask for a demonstration using the channel and language your agents actually handle.
Price a representative workload
LanguageLine’s retail audio service lists $3.95 per minute. Illinois DoIT’s service lists $0.60 for eligible state organisations. They are different purchasing arrangements, not the endpoints of a generally available market range. Their published service targets do not prove that the price difference is caused by speed or quality. Request an offer for your volume, language mix and required service level.
Specify integration and failure handling
Document how an agent requests an interpreter, briefs them, transfers the call and ends the session. Ask whether callers wait on hold, whether authentication interrupts the call and how the workflow behaves during an outage. Include reconnect procedures and the handling of rare languages. Test a dropped connection and an unavailable interpreter as well as a successful call.
Use current, applicable service requirements
An average connection time does not describe every customer’s experience. Measure by language, include unsuccessful requests and agree a start point for the clock. Do not present the historical DOJ 45-second procurement reference or a CMS monitoring document from 2022 as a universal current call-centre requirement. Determine which rules and current contract terms apply to your organisation and service.
Keep the product boundary explicit
For covered health programs, required language assistance is subject to specific obligations. A translation tool alone does not provide a qualified interpreter.
